We want to view the Gainsight User Licence type(full or viewer) in user management page

Hi Team,

We have a customer who wanted view and export the users including the user licence type(full or viewer) from the user management page. Similarly how we are getting the last login date & time of a user.

@SKondreddy We are building something where admin can get to know what kind of user license type has been assigned to user(anticipated to be released in Mar_RT) on the user listing page along with some filter options, Once its implemented you can export it as part of user export from reports.

@uday any update on this? Also is it expected that the “Gainsight Licence Enabled” field does anything? It says False for all of our users regardless. 


@HollySimmons This is dev complete and it will be released in july’s release. That field does not come into picture now, we will have licensed field which represents license information.

Hello Everyone!

Happy to announce that your request has been considered and included as part of the v6.16 release. With this release, Admins can now view user license type (Full, Viewer, and Unlicensed) in the User Management page. For existing users, licenses are assigned based on their assigned permission bundles. 

This feature is implemented in both SFDC & NXT versions.

I’ve spoken to support about this but just for visibility here, our licence counts are incorrect because we cannot move someone back to “Unlicensed”, and we can’t (and don’t want to) change them to Inactive so even without any permissions they still show as a Full licence holder. 

 

We use NXT, and our users are created and maintained via the SF Connector, including the active status. We then use rules in the Permissions Bundle to auto allocate (and therefore remove) permission bundles based on Role/Profile and active status. 

 

So if someone changes role and no longer qualifies for GS licence they have no permissions but still contribute to the count of licences… 

IMO the Unlicensed/Full/Viewer status should be auto-set by GS based on the permissions provided to the user (either via rules or manually), not the other way round as it currently is. 


@HollySimmons  Currently you cant change licensed user to unlicensed users but we will allow that to happen in coming releases. Answering your second question, when you inactivate the user his license info will still remain associated to him but he would not be considered in the ‘license counts’ , we will remove the license info as well when we make some one as inactive in future releases. Please LMK if you still have any questions. 


This is not actually helpful if you license from Salesforce. In fact, its made my user management more difficult

 

The “full” or “viewer” license is based off of the permission set the user has been given in GS, but not actually if a SFDC GS license is applied to the user.

Additionally, not being able to “unlicense” a user is an issue. We have paid licenses for full or viewer, and any user has been defaulted to viewer. This is misleading as the users do not actually have a license or permission set in SFDC. Its basically a false positive in GS. 

 

This would be better setup to have two levels: one if a license has been applied in SFDC (licensed/ unlicensed), and then the permission set applied in GS (full/ viewer).

I can provide more details if you can  please tell me Which edition are you referring to? SFDC or NXT? 

As a separate note we will be allowing shuffling licenses from full or viewer to unlicensed in future releases.


In NXT. SFDC’s interface for getting a quick view as to who has a license and who does not is not clean and would be helpful to see as well as the GS Permission Set
